Tax & CC fee: retained by Artist vs Venue

Summary: At settlement you decide whether the Artist or the Venue keeps the collected sales tax and the card fees, which adjusts each party's amount due.

Before you begin

  • These choices are made at settlement, after card fees and splits have been set on the event.
  • Both Tax retained by and CC fee retained by are required to submit a settlement.

How it works

When an event is settled, two amounts have already been pulled out of revenue before the split: the sales tax collected, and the card fees. "Retained by" decides which party ends up keeping each of those amounts. Each is set independently to either Artist or Venue.

Think of it as a line on each party's tab:

  • Tax retained by Artist — the collected tax is credited to the Artist, so it's added back into the Artist's amount due and not charged to the Venue.
  • Tax retained by Venue — the tax stays with the Venue; it's not added to the Artist's amount due.
  • CC fee retained by Artist — the card fees are borne by the Artist: that amount is subtracted from the Artist's side.
  • CC fee retained by Venue — the card fees are borne by the Venue: that amount is subtracted from the Venue's side.

On the settlement breakdown, the retained tax shows up as a credit (a positive line) on the retaining party, and the retained card fee shows up as a deduction (shown in accounting style, e.g. ($15.00)) on the party that absorbs it. Each party's amount due is their split cut, plus any tax credited to them, minus any card fee charged to them. A party's total can be negative if the fees they absorb exceed their cut — that's shown as ($X.XX).

These two choices, together with the splits, fully determine the final net payout to each side.

Where to configure it

In Shopify Admin

The retained-by choices are part of the settlement, which is created at the POS — they aren't entered in the event form in Admin. Once a settlement exists, you can review Tax Retained By and CC Fee Retained By (along with payout type and gross) in the Settlements list and on the settlement PDF in Admin.

On the POS

Set both on the Settle event screen, under the Retainees section: tap Tax to choose who keeps the tax, and Card fees to choose who keeps the card fees. Each opens a picker with Artist and Venue. Both must be set before the settlement can be submitted.
