Warehouse Operations Specialist Job Overview

ONELIVE is currently seeking an experienced Warehouse Operations Specialist. This person, under guidance of our COO, will be responsible for assisting with a variety of tasks related to our warehouse operations, technologies, and client projects.

This position is onsite - applicants must reside in the Austin area and be willing to commute to ONELIVE’s office/warehouse on weekdays.

Responsibilities

  • Inventory Management:
    • Monitor inventory levels and stock to identify potential shortages.
    • Monitor cycle counts and physical inventory audits to maintain accurate stock records.
    • Update WMS with needed expected receipt orders, confirm received and shipped items when needed.
    • Investigate and resolve inventory discrepancies working with the team to correct processes to ensure accuracies.
  • Order Processing:
    • Review and process customer orders, ensuring accurate picking and packing instructions.
    • Coordinate with warehouse staff to prioritize and expedite orders as needed.
    • Generate shipping labels and documentation for outgoing shipments.
  • Shipping and Receiving:
    • Verify incoming shipments against receipt/purchase orders, checking for damages or discrepancies.
    • Coordinate with the receiving manager on the receiving process, including unloading and proper movement of goods.
    • Coordinate with the team on outbound shipping processes, including loading and coordinating carrier pickups.
  • Data Entry and Reporting:
    • Enter data into warehouse management systems (WMS) regarding inventory movements, shipments, and order details.
    • Generate reports on key warehouse metrics like inventory levels, shipping performance, carrier performance, order fulfillment times, and staff performance.
  • Operational Support:
    • Assist with warehouse layout optimization and space management.
    • Identify and communicate operational issues to warehouse management.
    • Provide training and support to warehouse staff on new procedures, equipment and systems.
  • Compliance and Quality Control:
    • Ensure adherence to company policies and industry regulations regarding warehouse operations and safety standards.
    • Conduct quality checks on products before shipment to maintain quality standards.
  • WMS System Integrations:
    • Connecting eCommerce stores to the WMS integrating systems through an API, setting up a seamless exchange of data pertaining to order details, inventory levels, and shipping information.
    • Label Management Systems management - ensuring proper rate shopping and client based rules are automated.

Requirements

  • Proven warehouse operations support experience Track record of problem solving.
  • Strong technical skills with warehouse management systems, and eCommerce platforms.
  • Excellent verbal and written communications skills.
  • Strong listening and training skills Ability to multi-task, prioritize, and manage time effectively.
  • Proficiency with administrative and office tools:
    • Gmail/Google Meet/Google Calendar
    • MS Excel/Google Sheets
    • Printers & Scanners

Physical Requirements: Requires prolonged sitting at a desk, working on a computer, working in a warehouse environment with high and low temperatures, occasional lifting up to 40 pounds.
