VIP Coordinator Job Overview
We are seeking a highly organized and professional VIP Tour Coordinator to manage and execute high-profile tours while providing critical administrative support. This role is ideal for someone who excels in managing complex schedules, handling sensitive information with discretion. The ideal candidate will have strong communication skills, meticulous attention to detail, and the ability to multitask in a fast-paced, dynamic environment.
Full-Time Remote Work. M-F 9am-6pm. $45-50k/year DOE with advancement opportunities.
Responsibilities
VIP Tour Coordination
- Plan, schedule, and lead VIP programs for artists and other entertainers, ensuring a personalized, seamless experience for guests
- Assist with curating VIP programs, merchandise packages and experiences
- Liaise with internal and external departments to prepare and coordinate tour logistics
- Hire local VIP assistants and coordinate payments and expense reporting with accounting dept.
- Prepare drop-ship orders for fulfillment to venues in a timely manner
- Availability to be on-call during weekends or evenings for emergency event support
Administrative Support
- Coordinate VIP itineraries for upcoming tours with artist management, tour staff and local assistants
- Draft, proofread, and distribute professional documentation for advancing upcoming tours
- Maintain detailed sheets of all tour logistics, shipment schedules and expense reports
- Participate in routine team meetings and track assigned responsibilities
- Support department leadership with general administrative tasks and special projects
- Maintain consistent communication with team members to ensure project success
- Manage email correspondence with attention to timely responses and appropriate follow-up
Requirements
The following traits and skills are required for this VIP Coordinator role.
- Minimum 3-5 years previous experience in concert event production, coordination or management
- Experienced knowledge of the music industry, concerts and VIP program operations
- Strong proficiency in MS Office, G Suite, CRM or scheduling systems and general data management
- Ability to learn and navigate new software programs and inventory systems
- Exceptional attention to detail and organizational skills combines analytical thinking with creativity to excel at problem-solving
- Ability to adapt quickly to changes and manage multiple priorities under pressure
